Thank you for representing First Sun EAP at a Benefits Fair. Below are some guidelines for how to make
this event successful. If you have any questions at any time please contact us. We are happy to help.
Benefits Fairs are important because employees are more likely to use EAP services if they know what
services are available and how to access them. Employees who use EAP services are less likely to have
workplace concerns. These employees enhance the effectiveness of the workplace.
Goals:
Make a personal connection with the folks putting on the benefits fair
Share information with employees about the range of EAP services and how to access them
Listen to employees
Encourage questions about EAP services
Materials: We will provide all the materials you need to set up the booth. They will either be delivered to the site or to you. They could include:
First Sun Badge
Tablecloth
Giveaway items
Promotional materials
Surveys
Door Prize
Demo Photo of the booth all set up
Arrangements will be made ahead of time for what to do with the materials after the event.
Process: We receive a request from the employer to attend a benefits fair. We contact you to see if you want to attend and provide directions on how to get there and who to meet as well as any other particulars about the event site. Here is the process for the day:
Meet the benefits fair coordinator(s)
Set up the booth
Greet employees as they arrive
Ask them to complete a survey so they have a chance to win the door prize
Conduct the prize drawing and arrange with coordinator(s) for delivery of prize to winner
Repack booth materials
Call and let us know about notable events, feedback or requests
Return materials and surveys
How to get paid: Document your activity on a Network Provider Log and include the company name, the hours you spent, approximate number of people you met with and the date. There is no authorization
number; please note this as a “Benefits Fair” and who at First Sun asked you to do it for us. Mail or fax it to us so that we receive it no later than the 6th of the month.
Requests for services: It is not uncommon for employees or coordinators to make a connection with you
and to request further services - personal counseling, another benefits fair or an employee orientation. If
this happens, please indicate that we are delighted to assist and that services need to be coordinated
through our corporate office by calling 800-968-8143. Then let us know about the request so we can
follow up.
